Executive Assistant to Deputy Superindent Location Macon, GA :
Department: Central Office Grade: 68 Length of Work Year: 239 Days FLSA Status: Non-Exempt Evaluation: BEI Reports To: Deputy Superintendent JOB SUMMARY This position performs varied and highly responsible, often confidential, office and secretarial work for assigned administrators. Exercises considerable initiative to resolve problems and to anticipate and respond to office secretarial/clerical needs. Work involves frequent contact with high-level officials in BCSD and in other organizations, requiring initiative, discretion, sensitivity, good judgment, and strong interpersonal skills. DISTINGUISHING CHARACTERISTICS This job has no supervisory responsibilities. ESSENTIAL JOB FUNCTIONS - Strategic Support: Provide strategic support to the Deputy Superintendent in the execution of their responsibilities, including assisting with the development and implementation of organizational goals, initiatives, and policies.
- Calendar and Time Management: Manage the Deputy Superintendent's calendar, schedule appointments, and coordinate meetings, ensuring alignment with priorities and objectives. Oversee timekeeping processes for relevant departments, maintaining accuracy and compliance.
- Communication and Correspondence: Serve as the primary point of contact for the Deputy Superintendent's office, handling inquiries, emails, and phone calls with professionalism and discretion. Draft, proofread, and edit correspondence, reports, and presentations.
- Meeting and Event Coordination: Coordinate logistics for meetings, conferences, and events attended or hosted by the Deputy Superintendent. Prepare agendas, compile materials, record minutes, and follow up on action items as necessary.
- Board and Senior Cabinet Support: Assist in the preparation of agendas and materials for board meetings and senior cabinet meetings. Collaborate with stakeholders to gather relevant information and ensure timely distribution of documents.
- Information Management: Maintain organized electronic and physical filing systems for documents, records, and correspondence. Retrieve and disseminate information as needed, ensuring confidentiality and compliance with data protection regulations.
- Travel Arrangements: Make travel arrangements for the Deputy Superintendent, including booking flights, accommodations, transportation, and preparing itineraries. Manage travel expenses and reconcile reports in accordance with organizational policies.
- Administrative Assistance: Provide general administrative support, such as photocopying, scanning, filing, and ordering supplies. Assist with special projects, research, and initiatives as assigned by the Deputy Superintendent.
- Performs other duties as assigned.
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS Bachelor's degree in business administration, education, or a related field preferred. Five (5) years of proven experience as an executive assistant or in a similar role, preferably in a school district or educational setting. KNOWLEDGE, SKILLS AND ABILITIES - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Excellent communication skills, both written and verbal, with a strong attention to detail.

- Strong organizational and time management skills, with a proactive and solution-oriented approach.
- Collaborative mindset and ability to work effectively both independently and as part of a team.
- Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
