Role Overview 

The Admin Assistant will play a key role in supporting the daily administrative operations of our busy flower import business. You will handle a broad range of administrative tasks related to supply chain, logistics, inventory, and customer support. The right candidate will be analytical, dependable, willing to learn, and contribute to our continued growth.

Key Responsibilities 

  • General office administration, including answering phones, managing email correspondence, and filing important documents.
  • Supporting logistics, coordinating delivery schedules, and verifying shipments and invoices from international suppliers.
  • Assisting with order processing and inventory tracking to ensure accurate stock management.
  • Supporting the operations team with other administrative duties as assigned, to support the wider team and business objectives.
  • Maintaining and updating company records, databases, and CRM systems.
  • Preparing shipping and customs paperwork in compliance with relevant regulations.
  • Providing excellent customer service to clients, responding to enquiries, and helping resolve any issues efficiently.
Essential Skills & Qualifications 
  • 3 years of experience in an administrative, office assistant, or similar role, ideally in import/export, logistics, or the floral industry.
  • Strong organisational skills and careful attention to detail.
  • Bilingual is a plus  (English & Spanish), read, write, and speak. 
  • Good written and verbal communication skills.
  • Competency with Microsoft Office applications (Word, Excel, Outlook) and willingness to learn new software.
  • Ability to prioritise multiple tasks and manage time effectively under pressure.
  • Positive, proactive attitude and strong problem-solving abilities.

Compensation & Schedule 

  • $40 000-$48 000 
  • Full-time position, Monday to Friday, 8 am-5 pm, with occasional work on Saturday 
  • This will be a fully on-site position (NO REMOTE WORK)
